Agency Terms and Conditions

IMPORTANT TERMS

When you sign up for Tour Sokoni Agency, you accept these Terms and Conditions (“Terms”) and any other terms and conditions that you are provided during agency engagements. These Terms include an agreement to mandatory binding individual arbitration, which means that you agree to proceeding in court. These Terms also include your waiver of any right to bring, or participate in, a class action and a jury trial waiver. If anything in these Terms is (or becomes) invalid or unenforceable, it will still be enforced to the fullest extent permitted by law and you will still be bound by everything else in these Terms.

Definitions

“Contract” means the contract between Tour Sokoni and the agent for the Tour Package as reflected in the confirmation invoice prepared and sent by Tour Sokoni to agent.

Agent” means an entity or individual who acts on behalf of Tour Sokoni in travel dealings with clients, and Tour Sokoni as their sole DMC or ground handler.

1. Booking and Reservations
  • All bookings are subject to availability and confirmation.
  • A deposit of 30% of the total tour cost is required at the time of booking. The remaining balance must be paid no later than 60 days before the departure date.
  • For bookings made within 60 days of the departure date, full payment is required at the time of booking.
  • Tour Sokoni reserves the right to cancel any bookings not paid in full by the due date.
2. Cancellation and Refund Policy
  • Cancellations must be made in writing and will be effective on the date received by the company.
  • Cancellation charges are as follows:
    • More than 60 days before departure: Full refund minus deposit.
    • 30-59 days before departure: 50% of the tour cost.
    • Less than 30 days before departure: No refund.
    • No refunds will be given for any unused services or portion of the tour.
3. Changes and Amendments
  • Any changes to the original booking must be requested in writing.
  • An administration fee of $50 will be charged for any amendments made to the booking once confirmed.
  • Changes are subject to availability and any additional costs incurred will be the responsibility of the client.
4. Travel Insurance
  • Comprehensive travel insurance is mandatory for all clients and should cover personal injury, medical expenses, repatriation, loss of luggage, and cancellation.
  • Proof of insurance must be provided before the tour commences.
5. Health and Safety
  • Clients must inform the company of any pre-existing medical conditions or special requirements at the time of booking.
  • Tour Sokoni is not responsible for any health issues that may arise during the tour. Clients are advised to consult their healthcare provider for any necessary vaccinations or medications.
6. Liability and Responsibility
  • Tour Sokoni acts only as an agent for the clients in all matters relating to transportation, accommodations, and other tour services.
  • Tour Sokoni is not liable for any delays, accidents, loss, or damage to personal property during the tour.
  • Tour Sokoni reserves the right to alter the itinerary or substitute services of equal or greater value if necessary.
7. Force Majeure
  • Tour Sokoni is not responsible for any failure to perform its obligations due to events beyond its control, including but not limited to natural disasters, acts of war, strikes, or government restrictions.
  • In such cases, Tour Sokoni will make every effort to offer alternative arrangements or a partial refund where possible.
8. Complaints and Disputes
  • Any complaints must be reported to the company’s representative immediately during the tour.
  • If the issue is not resolved to the client’s satisfaction, a written complaint must be submitted within 30 days of the tour’s end.
  • Any disputes arising from these terms and conditions will be governed by the laws of the country in which the company is registered.
9. Use of Personal Data
  • Tour Sokoni respects the privacy of its clients and will not share personal information with third parties without consent.
  • Personal data will be used solely for the purpose of booking and providing tour services.
10. Acceptance of Terms
  • By registering as an agent of Tour Sokoni, the agent agree to accept and abide by these terms and conditions.
  • Contract is renewable every 2 years.

Additional Notes
Documentation: It is the client’s responsibility to ensure they have valid passports, visas, and any other required travel documents.
Behaviour: The company reserves the right to remove any client from the tour if their behavior is deemed disruptive or harmful to the group.

These terms and conditions provide a clear framework for both the tour company and its clients, ensuring a smooth and enjoyable travel experience for all parties involved.
